RECEPTIONIST

Our client is seeking a mature Receptionist to serve as the professional first point of contact—welcoming visitors, answering calls, and maintaining a polished reception area—while also providing essential administrative and sales support. The ideal candidate is proactive, detail-oriented, customer-focused, and adept at multitasking under pressure. Key duties include preparing quotes and invoices, processing orders, updating the CRM, engaging with clients, and coordinating service delivery to enhance operational professionalism.

Key Responsibilities

  • Professionally greet clients, suppliers, and visitors; direct them as needed.
  • Support MD’S office with boardroom logistics: bookings, setup, refreshments, and stationery.
  • Maintain an organised and presentable reception area.
  • Answer, route calls and take accurate messages.
  • Handle basic inquiries and escalate complex issues appropriately.
  • Process sales orders and issue accurate invoices via IQ Retail.
  • Track orders and coordinate follow-up with warehouse/logistics.
  • Update customer records (digital & physical).
  • Provide PPE product details by phone, email, and in-person to clients.
  • Assist the sales team with documentation, CRM updates, and communications.
  • Manage mail/courier activities and office supplies.
  • Coordinate internal scheduling for meetings, visits, and demos.
  • Support after-sales communication and client feedback.
  • Perform basic filing, reporting, and document control.

Required Skills & Experience:

  • A Bachelor’s degree in Administration, Marketing or a relevant field.
  • A minimum of 5 years’ experience in a similar role.
  • Receptionist, administrative, or front-office experience.
  • Familiarity with sales support, invoicing, or customer service.
  • Proficiency in Microsoft Office Suite.
  • Excellent communication and interpersonal skills.
  • Polished, friendly, and composed under pressure.
  • Strong organisational skills, multitasking, and attention to detail.
  • Discreet and professional handling of sensitive information.
  • Initiative and ownership in delivering an exceptional front-office experience.
